Qualifications:
1. Valid driver’s license and BCII clearance
2. High school diploma; Associate’s degree preferred.
3. High degree of proficiency in word processing, database management and office procedures. Proficient in current software. Familiarity with computer graphics preferred.

5. Professional tact, diplomacy and presentation with administrators, staff, teachers, students, parents and the community.
6. Conscientious and assumes responsibility for own work performance.
7. Demonstrate appropriate dress and attire for a business office setting.
8. Posses certification or be willing to be trained in CPR and AED equipment operation.
9. Must be physically able to lift up to 40 pounds.
10. Be in good health, have high moral character and hold a strong attendance record.

General Description: Serve as secretary and registrar for the counseling office and perform such duties to assure the accurate and efficient operation of the office.
Essential Functions:
1. Maintain respect at all times for confidential information.
2. Perform duties of receptionist and maintain a pleasant attitude.
3. Perform duties of registrar in an efficient manner.
4. Evaluate, assess and connect students with proper personnel.
5. Receive a variety of questions and requests and see that such matters are disposed of promptly, correctly and tactfully.
6. Effectively operate various office machines.
7. Prepare and maintain adequate files for the counselors. Process all records for alumni, current and new students.
8. Conduct important contacts with the public/community and others requiring tact and diplomacy.
9.Receive telephone calls, respond appropriately and correctly and make proper disposition of such.
10. Arrange/record appointments for students, parents, school personnel and visitors with counselors college advisor, CRC counselor, school psychologist, and testing personnel. Contact students for conferences with counselors.
11. Prepare correspondence, reports and communications and request guidance literature as designated by counselors.
12. Responsible for scheduling appointments for school counselors and the college advisor.
13. Responsible for total record keeping and/or obtaining students’ school entrance, transfer and withdrawal records; forwarding copies to other offices for county records.
14. Execute testing responsibilities (AP, EOC, SAT, PSAT with Assistant Principal).
15. Maintain/update guidance literature on bulletin boards in the counseling office and halls.
16. Responsible for notifying teachers of transfer students’ grades/credits earned.
17. Maintain adequate and accurate inventory of supplies for the efficient operation of the school office.
18.Responsible for accurate and efficient enrollment and withdrawal of students.
19. Process and enter student scholarship applications.
20. Accurately and efficiently enter EMIS coding each semester after schedules are set.

Job Objective: Performs secretarial duties that support effective office services. NOTE: Skill sets and autonomy vary by position. Classification, contract duration, wage rate, work schedule, benefits eligibility, etc., are determined by FLSA status and the collective bargaining agreement.
Essential Functions
- Performs secretarial and ancillary duties that facilitate the timely attainment of district objectives. Keeps informed about program and procedure changes.
- Collects and organizes information. Confirms data to prevent entry errors. Prepares documents using database, presentation, spreadsheets and word processing software.
- Maintains an effective records management system. Files and retrieves information.
- Completes assigned tasks within required time-frames.
- Collaboratively develops effective solutions for work-related problems.
- Greets office visitors. Assists with inquiries or directs questions to appropriate staff. Serves as a main point of contact for the public by answering questions and guiding the public with accurate information.
- Answer the telephone. Directs calls to the proper individual or takes messages.
- Prepares data collection forms, emails, letters, memos, notices, purchase orders, etc.
- Sorts and distributes mail. Notifies recipients about the arrival of packages.
- Prepare photocopies. Scan documents. Prints, collates, covers and binds printed materials.
- Investigates vendor prices. Assists with Invitation for Bid (IFB) and Request for Proposal (REP) procedures. Maintains procurement files (e.g., letters, contracts, confirmations, guarantees, etc.).
- Reorders consumable supplies as needed to maintain reliable service levels.
- Receives office deliveries. Verifies contents with packing lists/purchase orders. Reconciles invoices for payment. Maintains a transaction/account balance ledger.
- Coordinates preparations for meetings. Attends meetings to transcribe minutes when requested.
- Helps with special projects and committee activities as assigned.
- Provides back-up support for other departments as directed.
Assists in coordinating substitute coverage for the day when subs are not available.

General Description: Reporting to the Building Principal and in cooperation with the District Treasurer and Director of Technology, this position will act primarily as a cashier for the High School office, collecting, depositing and maintaining funds as directed by the Treasurer, following district policies and procedures. Also works directly with the Director of Technology for the deployment/migration/tracking of district issued devices to students.
Essential Functions:

- Act as a cashier for the High School office including Clubs and Athletics; collect fees, send out monthly invoices/balances due reminders, and deposits and petty cash.
- Coordinate with the District Treasurer to assure proper accountability of all district funds collected and disbursed.
- Coordinate with the Director of Technology when conducting Laptop Rollout. Organize events for the district, make sure appropriate staff are available to work events, and schedule table/chair set up with custodial.
- Track laptops for HS enrollments/withdrawals, graduating seniors, Penta students and full-time CCP students.
- Help coordinate HS registration days. Assess school fees, course fees, laptop assessments and non-instructional fees (parking permits and/or athletic extracurricular fees).
- Issue parking permits to upper/lower classmen at HS and maintain records of all driver/vehicle/owner information in a spreadsheet.
- Point of contact for the billing system. Be available for district secretaries in need of assistance, responsible for rolling the fees for the district annually, and updating any changes to the course fee amounts each year at the HS.
- Assist with coordinating graduation (laptop migration, tracking eligibility for disbursement of graduation tickets, assemble diploma packets for graduates, asist at graduation ceremony).
- Assemble folders for HS curriculum fair.
- Set up and maintain online summer PE registration for the HS.
- Assist counseling office with researching court records for custody documentation.
- Maintain HS building key box, key inventory, and log for keys issued to faculty/staff.
- Responsible for all school club and activities purchase orders and requisitions

General Description: Serve as secretary to the Athletic Director and perform such duties to assure the accurate and efficient operation of the office.
Essential Functions:
- Enter all sports physical information on students on the computer for fall, winter and spring athletes.
- Enter OHSAA (HIPPA form) information in computers for fall, winter and spring athletes.
- Enter students and their designated sport on the computer for fall, winter and spring seasons.
- Secure back-up for officials and security at each contest in order to account for all checks written by the athletic department so that proper reimbursement can be made.
- Run mid-term grades and grade cards at the end of each quarter in order to determine eligibility of all students. Determine their GPA and a count of their credits to make sure they meet the OHSAA requirements as well as PHS requirements. Then, distribute eligibility sheets to all teachers and coaches as a means of keeping all departments updated as to students who are non-eligible to participate in a sport (to be done at mid-quarter and end of quarter).
- Make sure the Athletic Director has updated copies of all athletic passes and sports physicals to assure that no student is playing a sport without having had a physical.
- Type all purchase orders for supplies, equipment, medical supplies, traveling expenses for sports teams, awards, mileage forms, etc.
- Compile roster of all teams with students’ grade, letter, number, weight, height, etc. Make sure these rosters are sent to the media as well as opposing teams.
- Type programs and order all awards for Awards Night for each sport at the end of their season.
- Update and revise the coaching roster with phone numbers for staff. Make sure that the media and local newspapers receive this information.
- Help secure workers/security officers to work each contest.
- Do all correspondence for Athletic Director and Assistant Athletic Director.
- Prepare packets for each athlete to be distributed at coach’s meetings held prior to each season. Secure all materials that need to be passed out at that meeting.
- Make copies of materials and distribute them to proper individuals.
- Handle incoming calls for the Athletic Director, take messages, check for cancelations and changes on a daily basis.
- Type OHSAA eligibility forms and keep on file in order to ensure all athletes are eligible.
- Send out informational data to Athletic Directors at other schools.
- Communicate daily with the transportation office to confirm buses needed for each day’s trips.
- Receipt of money and requests of money for activities.
- Enter all EMIS codes in the computer for each student participating in any activity/club/sport.
- Daily contact with coaches of in-season sports.
- Determine if athletes are in school the required amount of time each day in order to be eligible to practice/play in a contest.
- Distribute central office and US postal mail daily to staff’s mailboxes.
- Help in coordinating athletic department breakfast appreciation and holiday luncheon.
- Keep on file all coach’s certification of CPR and Sports Med. Notify coaches when they are due for re-certification.
- Prepare and run copies of materials for the athletic department that are to be included in the summer mailing.
- Proficient in athletic department software – FMX, Hometown Tickets, Final Forms, Arbiter, SCView.
